Information for censors at the Royal Danish Academy

Thank you for acting as an external examiner at the Royal Danish Academy.

As an external examiner, you play a central role in the quality assurance of our programmes – both in terms of assessing the academic level of the students' work and in creating a professional and safe examination environment.

Good External Examining Practices

The examination situation is a learning environment for the students. It is important that you, as an external examiner, engage in an academic dialogue with the students and subsequently provide constructive and academically objective feedback.

As an external examiner, you help ensure that students receive uniform and fair treatment, as well as a reliable assessment of their performance.

There are three key areas we emphasize in particular:

  • Focus on the students' assignments and/or projects, and not on their personal appearance.
  • Always assess the students' performance based on the defined learning outcome goals, and not in relation to personal interests or taste.
  • Provide academically objective feedback to the students that they can use moving forward in their continued professional and academic development.

Conduct of Examinations and Language

As a general rule, examinations are conducted in the language specified for the programme in the study regulations (either Danish, Norwegian, Swedish, or English).

Oral examinations take place physically at the Royal Danish Academy.

Oral examinations for the architecture programme take place at Holmen in Copenhagen or at our Campus in Kalundborg.

Oral examinations for the design programme take place at Holmen in Copenhagen or at Crafts in Glass and Ceramics at our campus in Nexø on Bornholm.

Oral examinations for the conservation programme take place at Esplanaden 34 in Copenhagen.

When an examination involves a written submission, you will gain access to it via Digital Eksamen. Once you have accepted an external examination assignment, you will receive a link to Digital Eksamen where you can view the submissions you are to assess.

Grading

Students must be graded according to the 7-point grading scale. Grades must be awarded based on the degree of target achievement, relative to the defined learning outcomes for the module.

For group examinations, students within the group must receive an individual assessment and grade.

The 7-point grading scale is an absolute grading scale. An absolute assessment of an examination performance is conducted solely based on an evaluation of the extent to which the student's performance meets the learning goals set for the exam, and not in relation to the performance of other students.

For examinations where the assessment is not communicated to the student immediately after the exam, the educational institution will set a date on which the assessment will be announced.

The examiner and the external examiner must reach a consensus on a grade for the performance during assessment. "If the examiner and the external examiner do not agree on the grade, they each award a grade. The grade for the exam is the average of these grades rounded to the nearest grade on the grading scale. If the average lies exactly halfway between two grades, the final grade is the nearest higher grade if the external examiner has given the highest grade, and otherwise the nearest lower grade." (The Ministerial Order on the Grading Scale, Section 11, Subsection 2)

Registration of Results

All assessment results must be registered in Digital Eksamen. Both the examiner and the external examiner must submit the grade they have agreed upon after assessment for each student.

If the examinee does not show up, both the examiner and the external examiner must submit the grade "U" (absent / udeblevet) in Digital Eksamen – thus, all examinees must be registered with either a grade or a "U".

Duty to Keep Notes

The external examiner and the examiner have a duty to keep notes for use in the event of an appeal. The notes must be kept for one year.

Fee

We pay fee to you based on the examinations you have assessed.

External examination assignments are a personal matter between the external examiner and the Royal Danish Academy, and they are remunerated in accordance with the state rates for personal external examiner fees. Consequently, it is not possible to purchase external examination services through a company.

As of 1 August 2026, the rate is DKK 527.62 + holiday allowance. You can also find the current rate in the Agency for Public Finance and Competence's salary overviews, section 8.2.

When you are offered an external examination assignment, you will be informed of the specific examination norm (hours) allocated to that particular exam.

The remuneration is processed through the Royal Danish Academy's request system and paid to your NemKonto.

If you reside abroad and do not have a Danish civil registration number (CPR number), you will receive separate information regarding the payment of your remuneration.

Catering
For oral examinations, we provide catering for both the external examiner and the examiner.

Reimbursement of Travel Expenses
If you have incurred travel expenses in connection with external examination assignments, you can have your travel expenses reimbursed. Travel expenses are reimbursed based on the cheapest mode of public transportation.
If you drive your own car, you can receive a mileage allowance according to the Danish state's lowest rate.

Parking at Holmen
If you arrive by car, you can pick up a daily parking pass at the reception. Please note that there is a limited number of parking spaces.

Parking at Esplanaden
At Esplanaden, we have a small number of parking spaces available. If you plan to arrive by car, you can contact the exam administrator to check the possibility of reserving a space.

Examination Report

After the examination, external examiners have a duty to provide feedback on the exam process in an examination report, which can be found in Censorum.

The day after the final exam date, an email will be sent from Censorum containing a link to the examination report.

The examination report is absolutely central to the work of both the chairmanship of external examiners and the Royal Danish Academy regarding the quality assurance of programmes and examinations.

Cheating and Examination Complaints

Academic Misconduct (Cheating)
If you suspect plagiarism or cheating, you must contact the examiner. The examiner will also contact you if they suspect exam fraud. The examiner is then responsible for contacting the Study Administration, which will handle the subsequent process.

If an examination is cancelled due to plagiarism or cheating, you will be notified.

Examination Complaints
If a student files a complaint regarding their examination, you will be notified by the Study Administration, which will also inform you of how the complaint will be processed. Examination complaints are handled in accordance with the description in Chapter 11 of the Ministerial Order on Examinations (Eksamensbekendtgørelsen). 

Appointment as External Examiner

External examiners are appointed for a four-year period.
The Danish Agency for Higher Education and Science appoints external examiners based on recommendations from the chairmanship of the external examiner corps.
Anyone who wishes to be appointed as an external examiner must submit an application during the open application period.
The next application opportunity will be in 2030 for appointments covering the period from October 2030 to September 2034.
